LCJ Design — Privacy Policy

LCJ Design ("LCJ Design," "we," "us," or "our") operates the LCJ Design Field
& Client App (the "App"), an internal tool our architecture firm uses to manage
timesheets, drawings, contracts, client sign-off, and billing. This Privacy
Policy explains what information the App collects, how we use it, and the
choices you have. It applies to our team members and to the clients we invite
into the App.
1. Who we are
LCJ Design is a small design practice based in Texas. If you have any

2. Information we collect
- Account information: your name, email address, phone number, role, and the
password you set (stored only as a secure one-way hash — we never store your
actual password).
- Project and work information: projects you can access, time and mileage
entries, notes and photos, drawing markups and sign-offs, contracts, change
orders, expenses, invoices, payments, requests for information, and messages.
- Usage information: basic technical data such as your IP address and browser
type, used to keep your session secure and the App working.
3. QuickBooks Online integration
If an authorized owner connects the App to QuickBooks Online, we access and
exchange accounting data with Intuit solely to keep our books in sync. This
includes customers and sub-customers (jobs), estimates, invoices, payments,
billable expenses, and time activities. We store the connection's access and
refresh tokens encrypted at rest, and we use them only to read and write the
accounting records described above. We do not use QuickBooks data for
advertising, and we do not sell it. The connection can be revoked at any time
from the App's QuickBooks settings or from within your Intuit account, which
stops all further syncing.
4. How we use information
We use the information above to operate the App: to authenticate users, record
and approve time, manage drawings and client sign-off, prepare and send
contracts and invoices, keep our accounting in sync with QuickBooks, and send
notifications related to your work (such as approvals, sign-offs, and billing).
5. How we share information
We do not sell your personal information. We share it only with service
providers that help us run the App, and only as needed to provide it:
- Intuit (QuickBooks Online) for accounting sync, when you connect it;
- our hosting and database providers, which store the App's data;
- an email/notification provider, to deliver invites and alerts.
We may also disclose information if required by law.
6. Data storage and security
Data is stored in a secured database. Sensitive credentials (including
QuickBooks tokens) are encrypted at rest, passwords are stored only as hashes,
files are served through authenticated, time-limited links, and access is
scoped by role so that clients only see their own projects. No system is
perfectly secure, but we take reasonable measures to protect your information.
7. Data retention
We keep information for as long as needed to run the practice and meet legal,
tax, and contractual obligations. You may ask us to delete information that we
are not required to keep.
8. Your choices
- You can update your account details or ask us to correct them.
- An owner can disconnect QuickBooks at any time.
- You can ask us to access or delete your personal information by emailing
jdbrown@lcjdesign.net.
9. Children's privacy
The App is a business tool and is not directed to children under 13, and we do
not knowingly collect information from them.
10. Changes to this policy
We may update this policy from time to time. We will post the updated version
here and revise the effective date above.
